What determines the price of an AI workshop?

Why one AI workshop costs far more than another: the five factors behind the price, what a good quote should spell out, and what to watch for when comparing.

Short answer: the price of an AI workshop comes down to five things — the length, the group size, the number of facilitators, how much preparation goes into tailoring it, and what follow-up is included. Whoever you ask, you'll only get a serious figure after a conversation about those five points. Below is what each of them does to the price, so you can put quotes side by side and see where the difference comes from.

The market is opaque: providers rarely say openly how their price is built up. This article isn't about amounts — those vary too much between situations to be worth naming — but about what to look for when you're assessing a proposal.

The five factors behind the price

1. Length

A two-hour session is a different day from a four-hour sprint. And not only in hours on site: a longer programme needs more structure, more variety and more preparation to hold the energy.

2. Group size

A day for eight colleagues looks nothing like a day for forty. Larger groups call for a different format, more facilitation on the floor and often parallel rounds instead of one plenary session.

3. Number of facilitators

This is the factor that most often stays invisible in a quote, while doing the most to the price. Always ask explicitly how many people will be there on the day, and what happens when part of the group gets stuck while the rest moves on.

4. Preparation and tailoring

This is where the biggest gap sits between a cheap workshop and an expensive one. A generic session takes a few hours of preparation; a programme tuned to your industry, your work processes and the AI experience in the room takes days. A provider who sends a proposal without talking to you first is, by definition, offering the former.

5. Licences and follow-up

Working with ChatGPT, Claude or Microsoft Copilot during the day costs licences. And the follow-up adds up: a recap with prompts, materials and concrete next steps is work that happens after the day.

What should a good quote spell out?

A proposal you can actually compare makes at least these points explicit:

  • How many facilitators will be on site
  • Whether the programme is tailored, and on the basis of what
  • Which materials and licences are included
  • What follows after the day, and within what timeframe
  • Whether travel costs are included
  • What is not included

See what's included in an AI Bedrijfsdag for how we write that down.

Red flags when comparing

  • A price per person. It sounds approachable, but it scales against you: the more colleagues you bring, the more expensive the day. It nudges you into leaving out people who really should be there. A group price is fairer.
  • No intake before the quote. Without a conversation first, 'tailored' is a marketing word.
  • "Certificate included". It sounds good, but check who issues it and what it's worth.
  • Not a word about follow-up. If nothing follows the day, the result fades within a fortnight.

How we do it

We work with one price for the whole group, not per person. What that price is depends on the five factors above. After a free thirty-minute intake you'll know where you stand and which format fits best.

Frequently asked questions

Is it priced per person or per group?

Good providers work with a group price, not a price per person. A fixed group price is fairer and doesn't push you into bringing fewer people than you actually want. We always work with a group price.

What's the difference between a cheap and an expensive AI workshop?

The biggest difference is preparation and tailoring. A cheap session is generic and built on standard material. A more expensive workshop is tuned to your industry, your work processes and the AI experience in the room. On top of that, the number of facilitators on the day matters: with larger groups it strongly determines how much individual attention there is.

How many facilitators are there on the day?

With us there's always at least one experienced trainer on site. For larger groups we bring more facilitators, so teams that get stuck don't have to wait. How many that is, we agree during the intake based on the group size and the format.

Are there subsidies available for AI training in the Netherlands?

In some cases there are tax advantages through the WBSO scheme for innovative companies, or sector funds such as the SLIM scheme for SMEs. Check with your trade association or HR adviser whether a scheme applies — we can't give guarantees about eligibility.

How quickly after an intake do we get a quote?

After the free thirty-minute intake you receive a no-obligation tailored proposal within three working days, including a recommendation for the format that fits best. One round of revisions is included.
